Custom Hospital Whiteboard Labels

Unit whiteboards change every shift. Swap handwritten status notes for bold magnetic labels that anyone on the floor can read from the hallway and move in one second.

Why magnets beat dry-erase for status

Handwritten status on a unit board fades, smears and varies with handwriting. A magnetic label reads the same no matter who placed it, it cannot be half-erased by a sleeve, and moving a patient from Pending to Ready is a single motion. Charge nurses use them for bed status (Admit, Discharge, Cleaning, Bed Clean, Blocked), staffing (Charge RN, CNA, Float, Sitter, Break) and patient flags (NPO, Fall Risk, Isolation, Telemetry).

Because the vocabulary on a unit is small and repeated, magnets are also faster than writing. Most boards need eight to fifteen distinct terms, each in a few copies. Order the quantity you need per term in the builder.

Readable from the hallway

At 34mm tall with heavy white lettering, our labels read from much farther away than dry-erase handwriting. We recommend the Hyperlegible font for clinical boards because it keeps letters such as I, l and 1 distinct, and it was designed for low-vision readers.

Use color to carry meaning without extra words. A common setup is blue for staffing, black for bed status and red for safety flags such as Fall Risk and Isolation, so a glance down the hall tells you where the risk is. Each order prints in one color, so place one order per color, each with the 5-label minimum.

How should a unit board be laid out?

Most charge nurses build the board in columns: room number down the left, then the assigned RN and CNA, then bed status, then patient flags. Keep a parking strip along the bottom edge for spare magnets so nobody hunts for a Discharge label at shift change. Fixed headers that never move can use the 3M VHB adhesive option, while everything that changes during the shift stays magnetic.

Check your board first

Magnets need a steel-backed board. Porcelain-on-steel and painted steel whiteboards, the most common types in hospitals, work well with our exposed N52 magnets. Melamine, glass and many budget boards are not magnetic: test with a fridge magnet before ordering. If it does not stick, you can still mount fixed column headers with the 3M VHB adhesive option.

The top surface is flat and smooth, so labels wipe clean with standard surface disinfectant wipes. They are 3D-printed PLA, so wipe rather than soak them. They are status markers for staff workflow and should follow your facility's privacy rules: never put patient-identifying information on a public board.

Hospital Whiteboard label sets

Ready-made sets of the words this trade labels most, grouped by where they go. Each set opens in the builder with every label in place; add, remove or retype any of them before you order.

Hospital Whiteboard label questions

Will these labels stick to our unit whiteboard?

Only if the board is magnetic. Porcelain-on-steel and painted steel boards work. Glass, melamine and many budget boards do not; test with a fridge magnet first.

How many of each status label should we order?

Count the maximum number of beds that could share a status at once. A 24-bed unit might need 6 each of Discharge and Pending, but only 2 of Overflow. Set the quantity per label in the builder.

Can staff disinfect the magnets?

Yes, wipe with standard surface disinfectant wipes. Do not autoclave or soak them in solvents.

Can we color-code by meaning?

Yes. Each order prints in one color, so place one order per color, for example blue for staffing and red for safety flags. Each order has a 5-label minimum.
